Cash, bank transfer or a company invoice: which to choose

14/09/2026· 4 min read

Payment sounds like a small matter, but choosing wrong costs time at exactly the busiest moment — or loses the chance of an invoice, which can't be recovered afterwards.

Three methods and where each fits

Cash

  • Fits: small orders, buying in person, when the recipient knows the amount in advance.
  • Doesn't fit: large orders (the courier has to carry change), orders placed for someone else, company orders.
  • Tip: ask the total when ordering and have the right money ready — making change is the most common cause of delay at handover.

Bank transfer

  • Fits: almost everything, and especially large orders, orders for someone else, and scheduled orders.
  • Biggest advantage: handover is instant, no counting — which matters when delivering during a lunch break or into a crowded place.
  • Note: put the name and phone number used to order in the transfer reference. A transfer with no reference is hard to match, especially with several orders arriving at once.

Paying in advance or on delivery

For large or time-scheduled orders for an event, paying part or all in advance reassures both sides. For ordinary orders, paying on delivery is normal.

Asking for an invoice: what to prepare

Company orders, orders for expense claims, catering for an organisation — if you need an invoice, say so when ordering, not after receiving the food.

Have this ready:

  • The full registered company name.
  • The tax code.
  • The registered address — note this may differ from the delivery address.
  • An email for the invoice.

The tidiest approach is to keep these four lines in a phone note and send them by message rather than reading them out — a tax code read aloud is easily misheard.

Why it has to be said in advance

Because an invoice attaches to the transaction as it happens. Raising it after payment is far more complicated to handle, and sometimes can't be done. This comes up often with people ordering on a manager's behalf who only learn afterwards that an invoice was needed.

Choosing by situation

SituationUse

A few deliveredTransfer — handover is instant
A group orderTransfer with a clear reference
Ordering for someone elseOrderer transfers in advance
Company order for expensesTransfer + request the invoice when ordering
Event cateringPay in advance, settle the invoice too
Buying late at nightTransfer — avoids making change at 3am

Recurring orders: settle payment once

An office ordering weekly and renegotiating payment each time wastes both sides' time. Settling it once is far tidier:

  • A fixed method — transfer per order, weekly, or monthly.
  • Invoices grouped by period if the company needs them for expenses, rather than one per order.
  • One point of contact on the ordering side, so it isn't a different person with a different request each week.

Those three settled once cover a whole month and cut reconciliation errors sharply.

Ordering through an app

Payment follows the platform's rules and the shop can't intervene. Two things worth knowing:

  • Invoicing is handled by the platform, not the shop — so orders needing expense documentation are simpler placed directly.
  • Refunds also go through the app, even when the shop has confirmed the error.

Four things that speed up handover

  1. Ask the total when ordering, not on arrival.
  2. Transfer before the food arrives if using that method, with a clear reference.
  3. Paying cash, have the right money or close to it.
  4. Ordering for someone else, state who pays — to both the shop and the recipient.

Quick answers

Which method is easiest for delivery?

Bank transfer, because handover is instant with no counting — which matters during a lunch break or into a crowded place.

What should the transfer reference say?

The name and phone number used to order. A transfer with no reference is hard to match when several orders arrive at once.

When do I have to request an invoice?

When ordering, not after receiving. An invoice attaches to the transaction as it happens, so raising it after payment is far more complicated.

What information does an invoice need?

Full registered company name, tax code, registered address (which may differ from the delivery address), and an email. Keep them in a phone note and send by message — a tax code read aloud is easily misheard.

Who pays when ordering for someone else?

Simplest is the orderer transferring in advance. Having the recipient pay works but both sides must know, so nobody is asked to pay for their own gift.

How do recurring orders work?

Settle three things once: a fixed payment method, invoices grouped by period if needed, and one point of contact on the ordering side.
